Automations Overview

Automations are processes and actions that can be run without manual intervention. Caspio offers automations through Triggered Actions, Tasks, and Scheduled Import and Export. Each of these features provides a selection of benefits: 

• By automating routine tasks, you can save time and effort to focus on more critical aspects of your work. 

• Automated processes follow predefined rules, which reduces the risk of human error and ensures consistent data handling. 

• Actions can be run exactly when needed, either in response to specific data changes or according to a set schedule. 

• Automation eliminates mundane tasks, enabling you and your business to concentrate on higher-value activities that drive business growth. 

Triggered Actions and Tasks are the two primary types of automations in Caspio, each serving different purposes and triggered by different events.  

Triggered actions are operations that run automatically in response to specific data changes within a database table, such as insertions, updates, or deletions. They are useful in automating calculations, sending notifications, creating records in another table, and more. 

Tasks are operations that you either start manually or schedule to run automatically based on a predefined plan. These tasks are ideal for batch processing large volumes of data during off-peak hours, such as for aggregating data, sending batch notifications, reminding users of open action items, and so on. 

Data Import and Export Tasks are actions for importing and exporting data to and from your Caspio account based on a schedule, without any manual intervention. You can use them to periodically refresh data from other systems to keep your Caspio data up-to-date and to run regular backups of your cloud-hosted data or transfer it to other systems for further processing or storage. 

Consider the following scenarios for using automations to enhance your apps: 

Triggered Actions: 

• Email or SMS notifications: Automatically send notifications when specific events occur, such as when a new record is added to a database.
• Data calculations: Perform calculations and aggregations on data, such as updating calculated fields or generating reports.
• Data manipulation: Copy, update, or delete data based on certain conditions. 

Tasks: 

• Birthday emails: A daily task that runs in the morning to send customized birthday emails to customers. 
• Event reminders: An event management task that sends reminders to registrants a week before an event.

Data Import/Export Tasks: 

• Periodic data refresh: Schedule data imports to refresh your Caspio database with updated data from external sources regularly. 
• Regular data backups: Schedule data exports to create regular backups of your Caspio data, ensuring you always have up-to-date copies of your data stored securely.
