Knowledge Bases
2 minutes to readA knowledge base is a collection of files that your AI agents use when they answer questions, such as policies, product guides, or FAQs. You create a knowledge base once in AI tools and can assign it to any number of agents.
Create a knowledge base
- In the left navigation, select AI tools.
- Select the Knowledge bases tab.
- Select Create knowledge base.
- In Knowledge base name, enter a name that is unique in your account.
- Optionally, in Description, describe what the knowledge base contains, so other app developers know when to use it.
- Under Files, select Select files, or drag files into the drop area. Add at least one file.
- Select Create.
Caspio then processes each file so agents can use it. The knowledge bases list shows each knowledge base’s name, description, ID, the number of AI agents that use it, and its size in KB. To make a knowledge base available to an agent, assign it in the agent’s settings.
File requirements
- Supported formats: TXT, MD, DOCX, and text-based PDF.
- Files per knowledge base: up to 100.
- File size: up to 10 MB per file.
- File names: must be unique within the knowledge base.
File status
Each file in a knowledge base shows its status:
- Processing: Caspio is preparing the file for agents to use.
- Processed: agents can use the file.
- Failed: the file could not be processed. Remove the file and upload it again.
If some files fail to upload when you save, the knowledge base is still saved and a warning lists the files that were not uploaded. Upload those files again.
Edit a knowledge base
- On the Knowledge bases tab, point to the knowledge base and select Edit.
- Change the name or description, select Select files to add files, or select [×] next to a file to remove it.
- Select Save.
Delete a knowledge base
- On the Knowledge bases tab, point to the knowledge base and select Delete.
- Review the agents that use the knowledge base. They lose access to its content.
- Type DELETE to confirm, and then select Delete.
Deleting a knowledge base permanently deletes its files.
Resource usage
Knowledge bases consume Caspio Credits for storing files and when an agent uses them to respond to a prompt.
